Terms & Conditions

These terms explain booking, payments, delivery/pickup, care, cleaning and refunds for party hire with Upper Beaconsfield General Store & Over the Road. They’re designed to be clear and fair so you can book with confidence.


1. Booking & Payment

• A booking is confirmed once a deposit or full payment is received.

• Full payment is required prior to collection or delivery of equipment.

• All prices include GST unless stated otherwise.


2. Hire Period

• The hire period is generally 1, 3 or 7 complete days, unless otherwise agreed.

• Extended hire periods can be arranged at the time of booking.

• Late returns may incur an additional daily hire fee.


3. Collection & Return

• Equipment must be collected and returned during our business hours, unless delivery has been arranged.

• Please ensure all items are clean and packed as supplied when returning.

• If items are not returned clean, a cleaning fee may apply.


4. Delivery & Pickup

• Delivery and pickup can be arranged for additional fees.

• Delivery includes drop-off to the front of property (unless otherwise arranged).

• It is the hirer’s responsibility to ensure clear access for delivery and pickup.


5. Responsibility & Care

• Equipment is the responsibility of the hirer from the time of collection or delivery until return.

• The hirer is responsible for any loss, theft, damage, or breakage to the equipment during the hire period.

• Do not use equipment outdoors in wet or unsafe conditions unless suitable for that use.


6. Damage, Loss & Cleaning

• Damaged or missing items will be charged at replacement cost.

• Items returned unclean (e.g. food warmers, fridges) may incur a cleaning fee of up to $50 per item.

• Please report any faults or damages immediately so we can assist.


7. Safety & Use

• Only use the equipment for its intended purpose.

• Electrical items must be used with care — avoid overloading power boards and ensure cords are kept dry.

• The business accepts no responsibility for injury or damage caused by misuse or negligence.


8. Cancellations & Refunds

• Cancellations made more than 48 hours before hire will receive a full refund.

• Cancellations within 48 hours of the hire date may forfeit part or all of the payment to cover preparation and lost bookings.

• Refunds are not available for early returns or change of mind once hire has commenced.


9. Liability

• Upper Beaconsfield General Store or Over the Road is not liable for any injury, loss, or damage to persons or property arising from the use of hire equipment.

• The hirer agrees to indemnify the business against any such claims.


10. Acceptance

• By making a booking or taking possession of the equipment, you agree to these Terms & Conditions.

What if something goes wrong with the equipment?

Please contact us immediately if there’s a fault or problem so we can assist or replace the item if possible.
Am I covered if someone gets injured using the equipment?

No — you are responsible for safe use of the equipment. Upper Beaconsfield General Store and Over the Road cannot accept liability for injury, damage, or misuse.
Can I extend my hire period after pickup?

Yes — if the equipment is available, we’re happy to extend your hire. Just call or message us before your due return date to confirm and arrange payment.
Do you offer setup services?

In most cases, hire is for equipment only. However, we may be able to assist with setup or pack-down by prior arrangement (additional fees may apply).
